Terms of Service

UrbanTrack is a software platform for public reporting, organisation workflows, contractor coordination, uploaded evidence, and operational oversight.

Velra Agency Ltd trading as UrbanTrack owns and operates the UrbanTrack website and platform unless a page states otherwise.

References to the service in these terms include the public marketing site, organisation workspaces, contractor workspaces, public reporting portals, and related documentation.

You may use the website and platform only if you are acting lawfully and, where relevant, with authority to bind your organisation or to use the service on its behalf.

If you register, administer, or procure an UrbanTrack workspace for an organisation, you confirm that you are authorised to do so.

We may refuse access where we reasonably believe an account, enquiry, or organisation setup is unauthorised, misleading, or unsafe.

Account holders must keep credentials confidential, manage access carefully, and make sure only authorised users access the workspace assigned to them.

Client organisations are responsible for their own users, user permissions, submitted content, contractor assignments, operating procedures, and internal governance decisions made within the platform.

You must make sure information entered into the platform is accurate enough for the operational purpose for which it is being used.

You must not misuse the service, interfere with it, attempt unauthorised access, upload malicious material, scrape content where prohibited, or use the platform for unlawful activity.

Public reporting tools must not be used for fraudulent, abusive, defamatory, or knowingly misleading reports.

We may suspend, filter, remove, or investigate content or activity that appears unsafe, unlawful, abusive, or inconsistent with these terms or any client-specific service rules.

Commercial terms such as fees, billing cycles, implementation scope, support levels, user limits, notice periods, and any service-specific commitments may be set out in an order form, proposal, statement of work, master services agreement, onboarding schedule, or similar commercial document.

If there is a conflict between these website terms and a signed client contract, the signed client contract will generally take priority for the relevant customer relationship.

Subscription, payment, and service commitment wording should remain aligned with the commercial documents actually used in contracting.

UrbanTrack, its software, codebase, design system, branding, and product documentation belong to Velra Agency Ltd unless stated otherwise.

Clients and other users retain ownership of the data, reports, uploads, images, evidence, and operational records they submit into the platform, subject to any rights needed for us to host, process, secure, back up, and support that data.

Access to UrbanTrack is licensed, not sold. No customer acquires ownership of the software merely by subscribing to or using the service.

• You may use the platform only for your own internal business, service delivery, or permitted public reporting purposes.
• You must not copy, resell, reverse engineer, or create derivative products from the platform except where the law clearly allows it and cannot be excluded.
• Feedback you provide about the service may be used to improve the platform without giving you ownership of the resulting product changes.

We aim to operate the service responsibly and keep it available, but the platform is not promised to be uninterrupted, error-free, or suitable for every use case without configuration or review.

Features, interfaces, reporting workflows, hosting arrangements, and support processes may change over time as the product develops.

We may update these terms, the service, or supporting documentation where needed for legal, technical, security, or operational reasons.

We may suspend or restrict access where necessary to protect the platform, other users, client data, or the public, including where there is suspected misuse, security risk, non-payment, expired commercial cover, or breach of these terms.

Either party may also have rights to terminate or not renew access under any separate commercial agreement.

On termination, access may end, but records may still need to be retained for security, audit, legal, contractual, or operational reasons.

Nothing in these terms limits liability where the law does not allow that. Subject to that, the service is provided on a reasonable endeavours basis and we are not liable for indirect, consequential, special, or business-interruption losses arising from use of the site or platform.

Any governing law and jurisdiction position should be aligned with the final commercial contract. Unless otherwise agreed in writing, these terms are intended to be interpreted first by reference to the laws of England and Wales.
